E-Invoice Center business scenario
An international car manufacturing company requires that all retailers receive and handle e-invoices. The manufacturing company is registered for VAT in Sweden. The company must follow Swedish legal requirements for digital signatures. In this scenario, the manufacturing company is referred to as the Seller.
A small retail company sells cars made by the Seller. The retail company is registered for VAT in Germany and must follow German legal requirements for digital signatures. The retail company is referred to as the Buyer.
Applying correct digital signatures
The Seller uses E-Invoice Center to create legal, digitally signed e-invoices. StreamServer identifies the source and destination countries from the initial two characters of the VAT registration numbers. StreamServer connects to the TrustWeaver On Demand service via web service calls and provides the country codes, set according to ISO 3166. The on-demand service applies the digital signatures using a matrix (TrustWeaver Compliance Map™) based on the legal requirements of both countries.
Validating digitally signed e-invoices
The Seller validates the signed e-invoices on behalf of the Buyer. This means that the signature is validated before an e-invoice is sent to the Buyer. Proof of this validation is included in the signature. This means the Buyer is not required to validate the e-invoice upon reception. The Seller and the Buyer are responsible for using a secure connection to ensure that e-invoices are not manipulated during transmission. In this scenario, an SSL connection (Secure Sockets Layer) is used.
Archiving digitally signed e-invoices
Both the Seller and the Buyer must archive copies of e-invoices. The Seller is responsible for using an archive that fulfills Swedish legal requirements. The Buyer is responsible for using an archive that fulfills German legal requirements.
Validating archived e-invoices
The Seller must use valid electronic signatures in order to prove the authenticity and integrity of the archived e-invoices. The legal authorities in countries where electronic signatures are used have the right to perform financial audits. To verify authenticity and integrity during an audit, the Seller downloads the e-invoices from the Seller’s archive. The e-invoices can then be validated using the TrustWeaver e-Invoice Audit Page.
