E-Invoice Center legal considerations • TrustWeaver is the legal entity that issues e-invoices on behalf of the Seller. This means there must be legal agreement where the Seller authorizes TrustWeaver to issue e-invoices in their name and on their behalf. This agreement is normally part of the E-Invoice Center EULA (End User Licence Agreement). The EULA is signed by the Seller when acquiring the E-Invoice Center license. • Each e-invoice must include a legal statement, informing that the e-invoice has been issued by TrustWeaver AB on behalf of the Seller. See Adding a legal statement. • Most countries require that the Buyer authorizes the Seller to switch to e-invoices. This must be managed as part of the E-Invoice Center implementation project. • The Seller is responsible for using a legally compliant archive for storing e-invoices. The TrustWeaver Compliance Map™ can give useful information about the local requirements for the Sellers archive. If the storage for StreamStudio Collector does not fulfill the local legal requirements for a storage system for e-invoices, a third-party archiving system must be used. • The Buyer is responsible for using a legally compliant archive for storing e-invoices. If the Buyer does not have an archive that fulfills the local legal requirements for a storage system for e-invoices, the Seller can archive the e-invoices on behalf of the Buyer. This must then be regulated by an outsourcing contract between the Seller and the Buyer. Note: Archiving e-invoices on behalf of the Buyer is a complex scenario and is out of the scope for this user documentation. For more information, contact OpenText Support. • Depending on the country in which the Seller is registered for VAT, moving from paper to e-invoices may have implications for the issuing procedures. For up to date and more detailed information, see the TrustWeaver Compliance Map™. Note: If the company is registered for VAT in Italy, e-invoices must also be archive time-stamped. For more information, see E-Invoice Center configuration, archive time-stamping. • In order to use archive time-stamping, an agreement for archive time-stamping must be included in the EULA (End User License Agreement).
