E-Invoice Center archive time-stamping scenario This is an extension of the E-invoice Center end-to-end scenario. Depending on where the Seller is registered for VAT, the Seller may have to prove to the legal authority that e-invoices are archived in the Seller’s archive within a certain time frame. For example, if the company is registered for VAT in Italy and issues e-invoices with its Italian VAT number, the Seller must execute a procedure that records the decision to archive these e-invoices and the time of the occurrence of this decision. This procedure must be executed at least every 10 days. This means that e-invoices must be archived within 10 days of being digitally signed. The same applies to companies established in Italy but using foreign VAT numbers. Calculating hash values After an e-invoice has been signed by the TrustWeaver On Demand service, the signing filter calculates a hash value (using the SHA-256 function) representing the e-invoice. The hash value together with an e-invoice identification are added to the e-invoice as metadata. Transferring e-invoices to the Seller’s archive The e-invoice and its metadata are then sent through the archiving filter to the Seller’s archive. The Seller uses the Collector storage as long term storage. The e-invoice is first sent to the runtime repository, from where it is further transferred to the Seller’s archive by an Archiver application. Carrying out archive time-stamping tasks The Archiver application also polls the Seller’s archive for e-invoices with hash values which are successfully archived, but do not have a reference to an archive time-stamping record. When the Archiver application finds such an e-invoice, the hash value and the e-invoice identification are extracted and stored in a list. At a scheduled interval, the Archiver application sends the list to the TrustWeaver On Demand Archive Time-stamping service. This service adds a digital signature and applies a time-stamp to the list, which now turns into an archive time-stamping record. The Archiver application returns the archive time-stamping record to the Seller’s archive, where the e-invoices are updated with references to the record. The references are stored as metadata for the e-invoices. Validating archive time-stamping records The Seller downloads the e-invoices and the corresponding archive time-stamping record from the Seller’s archive. During a financial audit, the Seller uses the TrustWeaver e-Invoice Audit Page to prove the authenticity and integrity of the e-invoices and the archive time-stamping record. By manually comparing the signature times for the e-invoices to the signature time for the archive time-stamping record, the Seller can prove that the e-invoices were archived within the required time frame.
